How to Use the Group Dog Walker Diary

The Group Dog Walker Diary is a tool designed to help multiple dog walkers manage and organise their schedules, track repeat clients, and ensure all the necessary details for each walk are recorded. This guide will take you through the main features and how to make the most of them. 1. Select the Day What it is: At the top of the diary, you’ll see a dropdown menu labeled "Select Day". How to use it: Choose the day of the week you're scheduling for (e.g., Monday, Tuesday, etc.). This helps organise the walks for specific days of the week. 2. Add and Manage Repeat Clients At the bottom of the diary, there’s a section dedicated to managing Repeat Clients. These are clients who you regularly walk. What it is: A field and button to add new repeat clients and a list of clients already added. To Add a Repeat Client: Enter the Client Name in the provided text field labeled "Add new repeat client". Click the "Add" button to save the client to your list. You can later assign this client to any walk slot for ease of booking. To Delete a Repeat Client: Each repeat client is listed with a Delete button next to their name. Click the "Delete" button next to a client’s name to remove them from your repeat clients list. This will also update any scheduled walks with this client. Why is this useful? This section allows you to quickly assign repeat clients to different time slots without having to re-enter their information each time. It helps you manage regular clients more efficiently and reduces input errors. 3. Schedule Walks with Time Slots The diary helps you schedule walks by dividing the day into time slots (First, Second, Third, etc.). For each slot, you can assign a repeat client or ad-hoc (one-off) client. What it is: The "Slots Container" shows the available time slots for each day. How to Use the Slots: Select a Slot for a Day: Choose a time slot from the list for the selected day. Assign a Client to a Slot: Select a Repeat Client from the dropdown list of existing clients. For ad-hoc clients, enter their details manually. Add Dog and Walk Details: Number of Dogs: Select the number of dogs you are walking for that slot (1 to 6 dogs). Dog Details: For each dog, fill in their name, owner name, address, key code (if applicable), and any notes about the dog (e.g., behaviour, allergies). Save Walk Details: All information is automatically saved once entered. You can update it later if needed. Why is this useful? This section allows you to organise your daily walk schedule and keep track of important details for each dog and client. It’s especially helpful when you’re walking multiple dogs or managing multiple clients. 4. Manage Ad-Hoc Clients For one-off clients (who are not in your Repeat Clients list), you can fill out the necessary details in the "Ad-Hoc Client" section that appears when you choose a slot. You can manually enter their information, such as: Dog Name Owner Name Address Key Code Notes You can also select the Number of Dogs you’re walking, from 1 to 6. 5. Export Your Schedule You can export your schedule in CSV format, making it easy to back up your data, share it with your team, or send it to clients. What it is: Three export buttons allow you to download your schedule for: Day Week Month How to Use: Click on the "Export Day", "Export Week", or "Export Month" button to download a CSV file for the selected period. This file will contain all the details of your scheduled walks, including client names, dog details, and notes. Why is this useful? This feature allows you to easily share your schedule with other team members, track your work, and maintain a record for accounting purposes. 6. Saving Your Work All changes made in the diary are saved automatically in the localStorage of your browser. This ensures that your data remains intact even if you close the page or restart your computer. Important Tip: Always export your schedule periodically to keep a backup of your data. 7. How to Manage Multiple Dogs in a Slot If you're walking more than one dog for a client, you can manage them within each time slot. What it is: Each slot can be configured to handle multiple dogs (up to 6). How to Add Multiple Dogs: When adding a slot, select the Number of Dogs. For each dog, enter their details (name, owner name, etc.). You can also assign different clients to each dog if needed (e.g., if different clients own different dogs within the same walk). This feature ensures that you can manage multiple dogs efficiently, especially in group walks. Tips for Effective Use: Regularly update your repeat clients to ensure you don’t miss out on easy bookings for regular customers. Use the "Notes" section to record any special requirements or details about the dogs you’re walking (e.g., medical conditions, training needs, behaviour). Export your schedule weekly to keep a backup and share it with your team or clients. By following this guide, you'll be able to effectively manage your group dog walking business, keep track of regular clients, and ensure that all details are organised for each walk.
